5 business processes worth automating first
Not everything that can be automated should be. Five processes that deliver the fastest return for small and medium businesses, with realistic time calculations and warnings about where you can do damage.

Business owners rarely ask whether to automate — they ask where to start. The answer depends on two things: how often the process repeats and how costly a mistake is. The best candidates are frequent, boring and low-risk. Below are five that pay back fastest in our experience.
1. Answering customer enquiries
Most incoming questions repeat: price, timelines, scope, delivery. An AI assistant with access to your price list and service descriptions answers in seconds, at any hour.
What to measure: first response time and the share of enquiries answered without a human. A realistic target for the first months is 50–70% of typical questions, not 100%.
Warning: complex or emotional cases must be routed to a person automatically. That is defined in the system's rules up front.
2. Sales correspondence and follow-up
Instead of collecting contacts and writing emails by hand, the system builds a prospect list to your criteria, drafts a personalised email based on the company profile and tracks replies. You step in only when the answer is positive.
An important legal note: cold B2B email in the EU is subject to GDPR and national electronic communications rules — you need a legitimate interest basis, a clear sender and a working opt-out. That is a process question, not a technical one, and it has to be sorted before the first email.
3. CRM and data entry
After every conversation someone has to update the record, schedule a reminder and write down the next step. This work is rarely done neatly, because it is boring.
The automated version: a summary of the call or email turns into a CRM record with a status, next date and owner. The benefit is double — time saved and, more importantly, reliable data you can base decisions on.
4. Preparing proposals and documents
Commercial proposals, contract drafts and standard answers to tender questions are 80% repeated content. AI fills the template from the conversation data, and a person reviews and approves it.
What to measure: the time from enquiry to proposal sent. This metric is often directly linked to your win rate.
Warning: prices and legal terms must come from an approved source, never be generated by the model.
5. Reports and internal summaries
Weekly sales, marketing or operations reports are usually assembled by hand from several systems. An automated process collects them, compares against the previous period and delivers a short written summary highlighting the outliers.
How to choose the first process
A simple filter we use ourselves: the process repeats at least 5 times a week, takes at least 10 minutes, relies on text or data you already have, and a mistake can be corrected within minutes. If all four apply, that is your first candidate.
